Willo Photography
Our Privacy Policy

Willo Photography is committed to protecting your privacy and will only use the information that we collect about you lawfully. This notice is intended to give you an understanding of how and why we use the information you give us.

This notice sets out how Willo Photography (‘we’, ‘us’ or ‘our’) will respect and keep safe any personal data that you share with us. It is our aim to be clear when we collect your data and not do anything with it that you wouldn’t reasonably expect.

We may change this Privacy Policy from time to time, so please check back if you’re keen.

What data we collect & how we use it

If you make an enquiry with us, or book us for your wedding, we’ll take your names, address, phone number and emails along with all the lovely information about your big day (which isn’t actually personal data, but y’know… centrepieces!). Generally just stuff we need to shoot your wedding and get your photographs to you. We do this, because it’s necessary to provide you with our service.

It’s fair to say, we don’t actually use any personal data for marketing, so any information you give us will be used to either answer your enquiry, or to come and photograph your wedding.

We might also use your names on our promotion.  We’ll take a small selection of images and create sneak peeks, social media posts, possibly include some on our own website, other websites we love, and in our brochure to show other clients. It means that we can not only share how awesome your wedding is, but it really helps us to promote Willo Photography and the photos that we’re passionate about too. We’ll always be respectful with what we use, and of course you are free to tell us ‘no ta!’

We may process information contained in or relating to any communication that you send to us (mainly email chats, but let’s call it “correspondence data”. The correspondence data may include the communication content and metadata associated with the communication.  Our website will generate the metadata associated with communications made using the website contact forms.  The correspondence data may be processed for the purposes of communicating with you and record-keeping.  We’ll do it in order to give you the best service as your wedding photographers, but also because we love a natter too.

In some circumstances, we may process your personal data if necessary for obtaining or maintaining insurance coverage, managing risks, or obtaining professional advice.

Safe to say, we’ll only keep your personal data for as long as we need it. If you enquire, but don’t book us, we won’t keep badgering you to have another wedding, we’ll delete your details from our system. If you’re one of our lovely Willo couples, then we’ll keep it longer – usually for as long as we hold back-ups of your wedding images in case you ever need them from us.

How we collect your personal data
You might have filled out our online contact form. We use WordPress for our website so it’s protected by an SSL encryption layer and those details get sent to our email account on iCloud, which is protected by a two-factor authorisation.

When we send you an agreement for your wedding photography, we’ll ask you to confirm your contact details so we know where we’re going and how to contact you on your wedding day. We’ll collect this on Google Drive, because its secure and it’s easy for you to access and use.
Once we have that info, we’ll move it onto our iCloud, which (as above) is protected by a two-factor authorisation.

Providing your personal data to others
Unless required to do so by law, we won’t share your personal data with anyone unless you ask us to. Pure and simple. These circumstances would include working with other wedding suppliers on the day of your wedding, insurance companies etc.

Right of confirmation, access, rectification and erasure
Your data belongs to you, so if you would like to see what we hold, how we use it, to rectify any inaccurate information, you’d like us to erase it altogether, restrict how we use it or object to anything, then you have the right to do so.

Please get in touch with us if you would like to exercise any of these rights and we’ll get onto it right away. Write to us, or email with any such requests.

If you consider that our processing of your personal information infringes data protection laws, you have a legal right to lodge a complaint with a supervisory authority responsible for data protection. You may do so in the EU member state of your habitual residence, your place of work or the place of the alleged infringement.

Your images
As stated above, we may take a small selection of images and create sneak peeks, social media posts, possibly include some on our own website, other websites we love, and in our brochure to show other clients. It means that we can not only share how awesome your wedding is, but it really helps us to promote Willo Photography and the photos that we’re passionate about too.

We won’t sell any of your images to third parties or allow them to be used for commercial use, unless that’s something you request or give consent to.

We may enter your beautiful faces into photography awards, which is lovely and we hope you’re cool with that. Sometimes other websites (such as wedding blogs) may ask for your wedding to be featured – this will never happen without your consent and involvement.

We store your wedding images on encrypted hard drives, backed up to the heavens and locked securely away.
